Definition of Roles within the Organisation
Chairman
The role of the chairman of Maxwelltown Thistle F.C. is as follows:
- Represents the Club to the Outside Community
- Assists the General Secretary in preparing the agenda for forthcoming meetings.
- Chairs the monthy club meetings.
Each meeting shall consist of the following agenda:
- Apologies.
- Minutes of the previous meeting (proposer and seconder)
- Chairman’s address.
- General Secretary’s Report
- Treasurer’s Report
- Alterations to club constitution, mission statement or codes of conduct.
- Matters arising. These will have been agreed prior to the meeting and should be itemised on the agenda sheets.

General Secretary
The role of the general Secretary for Maxwelltown Thistle F.C. is as follows:
- Keeping Minutes of monthly meetings.
- Receiving and answering correspondence and having it ready for meetings.
- Canvassing members of the club for possible agenda items. Then preparing the agenda with the chairman.
- Sending out agendas and notices of meetings. Making copies of the previous meeting minutes are available at the subsequent meeting.
- Hiring of meeting rooms if necessary.
- Checking that members have carried out actions agreed at previous meetings.
- Keeping club records up to date.
Youth Secretary
The role of the Youth Secretary for Maxwelltown Thistle F.C. is as follows:
- To attend the monthly Dumfries and Galloway Youth Football Development Association meetings and to report back any points to the club committee at the monthly meeting.
- Receive and answer any correspondence pertaining to youth league matters
- Handle the registrations of youth players and submit them to the league in a timely manner.
Amateur Secretary
The role of the Amateur Secretary for Maxwelltown Thistle F.C. is as follows:
- To attend the monthly Dumfries and District Amateur Football League meetings and to report back any points to the club committee at the monthly meeting.
- Receive and answer any correspondence pertaining to amateur league matters
- Handle the registrations of amateur players and submit them to the league in a timely manner.
Youth Treasurer
The role of the Youth Treasurer for Maxwelltown Thistle F.C. is as follows:
- To maintain accurate accounts of the youth set-up in a manner such that they can be audited by the Club Auditor.
- Make and receive payments on behalf of the youth set-up in a timely manner.
- Be aware of the current balance and report back to the club committee when there are potential issues.
- Produce audited balance sheets for the Annual general meeting.
Amateur Treasurer
The role of the Amateur Treasurer for Maxwelltown Thistle F.C. is as follows:
- To maintain accurate accounts of the amateur set-up in a manner such that they can be audited by the Club Auditor.
- Make and receive payments on behalf of the amateur set-up in a timely manner.
- Be aware of the current balance and report back to the club committee when there are potential issues.
- Produce audited balance sheets for the Annual general meeting.
Club Auditor
The role of the Auditor for Maxwelltown Thistle F.C. is as follows:
- Audit both the Youth and Amateur Books prior to the club annual general meeting.
- There should always be 2 auditors. One of these may be the relevant treasurer.
Coaching Co-ordinator
The role of the Coaching Co-ordinator for Maxwelltown Thistle F.C. is as follows:
- Ensure that the respective team coaches are coaching the club’s players such that the players improve in the following areas:
- Personal Fitness
- Personal skills such as passing, shooting, heading, goalkeeping
- Tactical awareness
- Defensive and offensive strategies
- Teamwork
- Respect for officials, opposing team players and representatives
- Prepare an annual coaching plan for all club coaching activities.
- Oversee coaching exercises and advise on improvement where necessary.
Amateur Team Manager
The role of the Auditor for Maxwelltown Thistle F.C. is as follows:
- Ensure that the club meets all of its fixture obligations.
- Ensure that the team observes the club code of conduct at training sessions and on match days.
- Ensure that first aid is available on match days.
- Book the pitch and changing rooms for home games.
- Organise transport and pay out costs for away matches.
- Obtain re-imbursement from Amateur Treasurer
- Ensure clean kit is available and does not clash with opponents team colours on match days
- Ensure that training sessions are held at least one a week and that the sessions meet the coaching co-ordinator’s criteria.
- Pay the club share of referee expenses on match day.
- Record relevant player performance information on match days.
- Phone in the result and match details to the League Secretary on home match days.
Amateur Team Assistant/Coach
The role of the Amateur Team Assistant/Coach for Maxwelltown Thistle F.C. is as follows:
- Assist the Amateur Team Manager in his duties on match days.
- Stand in for the Amateur Team Manager when necessary on match days or training/coaching sessions.
- Be aware of all the requirements of the Amateur Team Manager role.

The role of the Youth Team Coach for Maxwelltown Thistle F.C. is as follows:
- Assist the Amateur Team Manager in his duties on match days.
- Stand in for the Amateur Team Manager when necessary on match days or training/coaching sessions.
- Be aware of all the requirements of the Amateur Team Manager role.
Club Captain
The role of the Club Captain for Maxwelltown Thistle F.C. is as follows:
- The club captain is the senior player at the club and carries the authority of the Amateur Team Manager at all times.
- The club captain will be appointed at the club Annual General Meeting. He will hold the post for 1 year.
- The club captain should be fully aware of the club code of conduct and should assist the team manager in upholding the code of conduct at all times.
- The club captain may not necessarily be the team captain. If both are playing on a match day the team captain takes precedence. However, the club captain can remind the team captain of the codes of conduct if he feels it is necessary.
- The club captain sits on the club committee.
Player Representative
The role of the Player Representative for Maxwelltown Thistle F.C. is as follows:
- The player representative will sit on the club committee.
- There may be a maximum of 2 player representatives on the committee.
- The player representative should assist the Amateur Team Manager where possible.
- Player representative(s) shall be responsible for the Amateur Team’s weekly tote draw. This includes collecting and recording payments and making the draw after the match.
- The Player Representative should be fully aware of the club code of conduct and should assist the team manager in upholding the code of conduct at all times.
Webmaster
The role of the Webmaster for Maxwelltown Thistle F.C. is as follows:
- Maintain the club website.
- Ensure that the website has an equal content balance between Youth and Amateur groups.
- Improve the website when possible.
- Ensure that there are links to relevant websites such as SYFA, SFA etc.
